JOB SUMMARY

The Account Manager is responsible for executing the day-to-day accounting tasks at the hotel level to support accurate financial reporting and compliance with internal controls. This role is operationally focused and acts as the primary on-site accounting liaison between the property and Corporate Finance teams.

Primary duties consist of performing office or non-manual work directly related to management or general business operations. Work includes the exercise of discretion and independent judgment with respect to matters of significance.

ESSENTIAL JOB FUNCTIONS

  • Processes payroll for the hotel, ensuring accuracy and compliance with local, state, and federal regulations; addressing any discrepancies and resolving payroll-related issues promptly.
  • Prepares and distributes required payroll reports and other related documents.
  • Maintains payroll records, including team member information, time and attendance data, and tax withholding details.
  • Launches onboarding for new hires.
  • Owns the full lifecycle of accounts receivable activities, including setting up direct bill accounts, generating invoices, applying payments, and performing follow-up on outstanding balances.
  • Serves as the primary point of contact for all billing questions, disputed folios, and guest invoice requests.
  • Ensures timely and accurate processing in compliance with hotel and brand policies; works closely with the corporate team on aging reviews and escalated AR collections.
  • Oversees the maintenance of the cash management module within the company's accounting software, ensuring all transactions are accurately recorded and reconciled.
  • Reconciles daily bank deposits, cash drops, and petty cash; monitor for compliance with cash control procedures.
  • Responsible for Accounts Payable coordination including collecting, reviewing, and coding vendor invoices; submits to the Corporate AP team in accordance with hotel policy; assists with vendor inquiries and reconciliations.
  • Supports and assists department heads with purchase order documentation and coding; maintains invoice tracking logs and follows up on outstanding approvals.
  • Provides month-end close assistance including support inventory counts, entering invoices for preliminary accruals, scanning and submitting supporting documentation to the Corporate Accounting team as needed.
  • Provides operational support, serves as the go-to resource on property for accounting-related queries; provides general administrative support related to hotel operations as assigned.
  • Ensures compliance with accounting principles, regulations, and company policies.
  • Reviews and implements internal controls to safeguard company assets and ensure accurate financial reporting.
  • Supports external audits and manages documentation and preparation for audit requests.
  • Collaborates with other departments to address financial issues and supports operational objectives.
  • Identifies opportunities for process improvements and efficiencies within the accounting function.
  • Implements best practices and standardized procedures to enhance overall accounting operations.
  • Attendance is a key component of this position.
  • Maintains a professional appearance in accordance with Company standards; wears the appropriate uniform or attire.
  • Maintains open and effective communication with team members and management.
  • Attends and participates in team meetings.
  • Adheres to established safety and emergency procedures and protocols, this includes Company, federal, and state specific regulations and guidelines.
  • Completes all required Company training/compliance courses as assigned.
  • Adheres to Company standards and maintains compliance with all policies and procedures.
  • Performs other related duties and responsibilities as assigned.

EDUCATION

  • High school diploma or equivalent.

EXPERIENCE

  • A minimum two (2) years of experience in related field required.
