ADMINISTRATIVE ASSISTANT I

Department: Management Services

Division: Fleet, Facilities, and Central Stores

Pay: GRADE 115: $41,851.08 - $60,684.06 Annual Salary, ($20.12 - $29.18 Hourly).

FLSA Status: Non-Exempt, Merit, Full-Time, Eligible for Benefits


GENERAL PURPOSE

This position performs data entry, inputs data into a data terminal, and verifies data accuracy. The position also performs other clerical duties to support the functions of the department to which they are assigned. Receives general supervision from the Assistant Fleet and Facilities Director and the Fleet, Facilities, and Central Stores Director.

ESSENTIAL JOB FUNCTIONS

  • Enter data from various sources, including accounting, statistical, and related documents; input corrections and updates; verify data for accuracy and completeness; assist in the compilation of reports.
  • Operate a variety of office equipment, including copiers, facsimile machines, and computers; input and retrieve data and text; organize and maintain digital records; and maintain filing.
  • Distribute or file computer printouts; perform various clerical duties in support of department functions.
  • Participate in routine recording-keeping duties.
  • Communicate with the public and internal city customers using excellent customer service skills.
  • Answer the telephone and assist the public and internal city customers; provide information on departmental and city policies and procedures as required.
  • Receive, sort, and distribute incoming and outgoing correspondence.
  • Participate in safety and risk management activities; take action to reduce liability to the city.
  • Attendance and punctuality are essential functions of this position. Employees are required to work as a team and frequently meet with co-workers and supervisors; employees are required to communicate in person with the public during office hours; and employees are required to use on-site equipment.
  • Perform other related duties as required/assigned.

EDUCATION AND EXPERIENCE REQUIREMENTS

  • At least one year of general clerical experience.
  • High school diploma or its equivalent.
  • Experience in Accounts Payable is preferred.
  • Any combination of experience and education that would likely provide the required knowledge and abilities may qualify.

Failure to obtain/maintain license and certificate as outlined above may result in termination from the position.

SPECIAL REQUIREMENTS

  • Possession of or ability to obtain a valid driver's license.
  • Employees will be required to complete NIMS IS100 and IS700 within three months of hire.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge of the methods and procedures of data entry.
  • Knowledge of modern office procedures, methods, and computer equipment.
  • Knowledge of the basic principles of record keeping.
  • Knowledge of English usage, spelling, grammar, and punctuation.
  • Skill in operating office equipment, including a computer.
  • Skill in typing at a speed necessary for successful job performance.
  • Skill in maintaining schedules and meeting deadlines.
  • Skill in maintaining records and preparing computer-generated reports.
  • Skill in communicating clearly and concisely, both orally and in writing.
  • Ability to understand and follow oral and written instructions.
  • Ability to maintain physical condition is appropriate to the performance of assigned duties and responsibilities, which may include the following: sitting for extended periods of time and operating assigned equipment.
  • Ability to maintain effective audio-visual discrimination and perception is needed for: making observations, communicating with others, reading, writing, and operating assigned equipment as required by the position.
  • Ability to maintain mental capacity allows for effective interaction and communication with others.
  • Ability to establish and maintain effective working relationships with those contacted in the course of work.
  • Ability to comply with all city policies and regulations, including safety and risk management standards.

WORKING CONDITIONS & PHYSICAL REQUIREMENTS

  • The work environment is primarily inside, where the noise and temperature levels are moderate.
  • The work is sedentary to light work which requires exerting up to 25 pounds of force occasionally, 10 pounds of force frequently, and/or a negligible amount of force constantly to lift, carry, push, pull, or otherwise move objects, including the human body.
  • Must possess the visual ability to see clearly at close (less than 20 inches) and far (20 feet or more) distances, identify and distinguish colors, observe an area that can be seen up and down or the left and right while eyes are fixed on a given point, and adjust the eye to bring an object into sharp focus.
  • Additionally, the following physical abilities are required: standing, walking, sitting, using hands and fingers to handle or feel, reaching with hands and arms, stooping, kneeling, crouching, talking, and hearing.
