JOB SUMMARY

ASI's Administrative Assistant works closely with employees and managers at ASI to coordinate and assist all office needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Guests and Visitors Reception

  • Answers and disseminates inbound phones calls.
  • Greets and processes visitors and guests.

Office

  • Orders and maintains office supplies inventories.
  • Coordinates with all employees for supply needs.
  • Copies, faxes, files, mails and performs other clerical responsibilities as needed.
  • Coordinates and maintains corporate Cell Phones plans.
  • Records weekly Staff Meeting minutes for employee reference.
  • Reviews and monitors time clock entries for accuracy, initiates revision requirements.

Travel

  • Coordinates and initiates all travel arrangements including air travel, lodging, rental cars, and shuttles, for corporate business travel.
  • Coordinates conferences reservations and booking requirements as needed.
  • Records all booked travel into travel log and disseminates travel information to travelers.

Meals

  • Coordinates and prepares weekly Staff Meeting meals.
  • Coordinates and determines meals for visitors as needed.
  • Orders and maintain kitchen supplies.

Human Resource

  • Maintains personnel records and files according to company, state, and federal requirements.
  • Processes new hires and terminations and maintains and updates employee benefit information and records.
  • Tracks and announces employee birthdays.
  • Fulfills general communication needs to employee regarding HR responsibilities or others as assigned.

Accounting

  • Help assist with some accounting duties.
  • Help back up the payroll process.

ESSENTIAL EDUCATION, WORK EXPERIENCE, JOB SKILLS

  • Must have excellent customer service skills.
  • Must have great communication skills.
  • Must have 2+ years of experience as an Administrative assistant, Accounting, Business, or other office related experience.
  • Must be able to answer phones and transfer calls.
  • Must be computer literate and have experience using Excel, Word, Outlook, PowerPoint, Fax machines, and other office tools.
  • Have some experience with payroll.
