We are seeking a highly organized and detail-oriented Administrative Assistant to support our operations and finance teams. This role will handle general administrative duties while also assisting with accounts payable and accounts receivable processes. The ideal candidate is a proactive problem solver who is comfortable balancing multiple priorities in a fast-paced environment. Prior experience in the construction or engineering industry is highly beneficial.

Compensation: $20-22/hour depending on experience
Location: West Valley City, UT 
FLSA Exemption: Non-Exempt
Schedule: 8 am - 5 pm but hours may vary


What you'll be doing:

  • Provide general administrative support to office and field staff

  • Greet and assist clients, visitors, and team members

  • Manage incoming calls, emails, and correspondence

  • Assist with data entry and document control for finance functions

  • Support accounts payable and receivable teams with invoice processing, expense tracking, and follow-up

  • Prepare reports, scan and organize receipts, and help reconcile billing records

  • Maintain office supply inventory, organize files, and coordinate mail and shipments

  • Assist with internal scheduling, meeting preparation, and communications

  • Ensure a clean, professional, and well-organized office environment

  • Maintain confidentiality and accuracy in all tasks


What you have:

  • High school diploma or equivalent; associate's degree or bookkeeping coursework preferred

  • 2+ years of experience in administrative support or office coordination

  • Basic knowledge of AP/AR processes and financial documentation

  • Proficiency with Microsoft Office Suite (especially Excel and Outlook)

  • Excellent communication, organizational, and multitasking skills

  • Detail-oriented, dependable, and able to manage time effectively

  • Valid driver's license and reliable transportation


What will make you stand out:

  • Previous experience working in the construction, engineering, or related technical services industries

  • Familiarity with accounting software or ERP systems (e.g., QuickBooks, ISolved, or similar)

  • Ability to work cross-functionally with project managers, technicians, and finance personnel

  • Strong understanding of invoice tracking and billing procedures

  • Demonstrated ability to take initiative and improve workflows


Preferred Certification(s):

  • None required; bookkeeping, AP/AR, or customer service certifications a plus
