POSITION OVERVIEW

As VLCM's Marketing Events Specialist, you'll be instrumental in planning and executing standout client and partner events. These range from marquee tech showcases to intimate customer luncheons. You'll manage branded giveaways, drive partner collaboration, and help create memorable, high-impact experiences.

WHAT YOU'LL GET TO DO

  • Assist the Sr. Experience Manager with end-to-end planning for:
    • Marquee VLCM events
    • Regional workshops, luncheons, and appreciation events
    • Executive retreats and vendor-sponsored experiences
  • Manage logistics including venue sourcing, catering coordination, onsite support, and post-event wrap-up
  • Own registration processes, communication workflows, branded giveaways, and tech integrations
  • Manage key event logistics such as:
    • Researching and recommending event venues
    • Coordinating with event stakeholders and contacts, including catering managers, venue contacts, VLCM partner representatives, etc.
    • Executing on individual event deliverables, including set-up at in-person events, managing branded giveaways for the event, registration management, and various communication tactics
    • Cultivating outstanding relationships with outside vendors, VLCM valued partners, internal stakeholders, and VLCM customers
    • Efficiently utilizing event technology, including but not limited to pre-event registration, onsite registration, mobile apps, meeting scheduling and integrations.
  • Manage marketing giveaway processes, including:
    • Procurement, delivery, shipping, and inventory tracking of marketing materials like signage, collateral, branded giveaways, and clothing
    • Item research, price comparisons, purchasing, on-site organization, moving, and cataloging of items
    • Management of the marketing item storage building
    • Coordinate the delivery and/or shipment of marketing items related to events and campaigns
    • Event incentive creation and fulfillment
  • Support marketing data projects such as contact research, segmentation, and reporting
  • Help implement new tools and processes that streamline marketing operations
  • Manage and track your expenses against provided budgets
  • Bring ideas, creativity, and good energy to the table

WHAT WE'RE LOOKING FOR

  • 2 to 4 years of experience in marketing, events, or related field
  • Bachelor's degree in marketing or related field preferred, but not required
  • Strong written and verbal communication skills
  • Meticulous attention to detail and excellent organizational skills
  • Reliable, deadline-oriented, and proactive
  • Strong initiative and problem-solving abilities
  • Ability to work well under pressure with a sense of urgency
  • Self-starter with a growth mindset and a willingness to roll up your sleeves
  • Tech-savvy, including proficiency with Microsoft Office programs
  • Experience with creative tools such as Adobe or Canva is a plus, but not required
  • Ability to help pack, move, and lift boxes for event setup and giveaway shipping.
  • Proven ability to work effectively both independently and in a team-based environment.
